This privacy notice explains how StudentKind Limited (“we”, “us” or “our”) will use your personal information when you enter the University of Nottingham Societies Student Survey prize draw.

What information do we collect?

If you choose to enter the prize draw, we will collect your email address.

We do not require your name or any other personal information to enter the prize draw.

Why do we collect your email address?

We collect your email address so that we can:

• administer the prize draw;

• identify and contact the winner;

• arrange delivery of the prize; and

• respond to reasonable queries about the prize draw.

We will not use your email address for marketing or other unrelated purposes unless you expressed interest in the treasure hunt event.  If you expressed interest we will only contact you in relation to this event from time to time to provide information.

What is our lawful basis for using your information?

We process your email address because it is necessary to administer the prize draw you have chosen to enter and to fulfil the terms of the prize draw.

Where applicable, we rely on Article 6(1)(b) of the UK GDPR – performance of a contract, as processing is necessary in connection with participation in the prize draw and its terms.

We will only collect and use the information that is necessary for these purposes.

Who will have access to your information?

Your email address will be accessible only to those within StudentKind Limited who need it to administer the prize draw.

We will not sell your email address or share it with third parties for their own marketing purposes.

How long will we keep your information?

We will retain prize-draw entry information only for as long as is reasonably necessary to administer the prize draw and deal with any related queries or challenges; and to notify those interested in the treasure hunt activity.

We expect to delete the prize-draw entry information where there has been no expression of interest in the treasure hint activity 30 days after the winners have been successfully contacted unless we have a legitimate reason or legal obligation to retain it for longer.

For those entrants expressing an interest in the treasure hunt data will be deleted on 31st May 2027, unless we have a legitimate reason or legal obligation to retain it for longer.

Once the information is no longer required, it will be securely deleted or anonymised.

Your rights

Depending on the circumstances and the lawful basis we rely upon, you may have rights under data protection law including the right to:

• request access to the personal information we hold about you;

• ask us to correct inaccurate information;

• ask us to delete your information;

• ask us to restrict how we use your information; and

• object to certain processing.

You also have the right to complain to the Information Commissioner's Office (ICO) if you are concerned about how we have handled your personal information.
